Event Date and Hours

The Event takes place Sunday, September 27, 2026 from 11:00 AM to 4:00 PM. Vendor set-up runs from 7:30 AM to 10:00 AM. All vendor spaces must be staffed and operational during all open hours of the event. There is no early breakdown — vendors abandoning their spaces early will not be accepted in future years.

Food & Beverage Vendors — Menu Approval

If you are a food or beverage vendor, you must email a complete menu to wabamdevents@gmail.com for review and approval by the West Annapolis Business Association, Inc. We work to coordinate, not duplicate, food products. Food vendors pay a slightly higher vendor fee to cover additional costs.

Products and Activities

Vendor agrees to sell only those products specified in this application and approved by the event manager. Exhibit materials and activities must remain within Vendor's own space so as not to interfere with any neighboring spaces.

Tax Responsibility

All Vendors are responsible for the collection and reporting of State of Maryland Sales and/or Use Tax.

Liability and Indemnification

Vendor acknowledges full responsibility for all Vendor activities at the event and for those employed or assisting in Vendor's booth. Vendor agrees to defend, hold harmless, and indemnify the West Annapolis Business Association, Inc., the City of Annapolis, and the employees, agents, successors, or assigns of any of the above, and save them harmless from and against any and all claims, damages, actions, liability, and expense in connection with loss of life, personal injury, and/or damage to property arising from or out of the occupancy or use by Vendor, Vendor's employees, or assistants of the space(s), booth, or any part thereof.

Insurance

The West Annapolis Business Association, Inc., the City of Annapolis, its agents, successors, or assigns, do not carry insurance policies to cover individual vendors, their products, or rental spaces and will not be responsible for any damage or loss of property of the vendors, nor for any claims of liability due to negligence by any vendor.

Refunds & Inclement Weather

NO REIMBURSEMENT will be made for advanced fees paid if Vendor decides not to participate or is banned from the event for violation of this Agreement. The festival will take place rain or shine. Registration fees will not be refunded due to inclement weather or other circumstances beyond the control of the Festival Staff.

Space Assignment

Vendor Space will be assigned by the West Annapolis Business Association, Inc. While you may request a particular space, there is no guarantee you or your company will be assigned that space.

Exclusivity

No exclusivity will be given for arts and crafts vendors due to the inherent uniqueness of these items. Similarly, service-oriented business vendors may not be exclusive. Management will enforce exclusivity for business vendors offering manufactured products such as sunglasses.

Permits (Food & Beverage)

If Vendor is a Food and/or Beverage Vendor, Vendor is required to obtain their own Anne Arundel County Health Department Permit. Vendor must work with WABA, who will pay for and provide a Peddler's Permit from the City of Annapolis.

Set-Up, Clean-Up & Trash

Vendors are responsible for set-up and clean-up in their vending space, including trash removal and disposal of any items required during the event. Vendor is responsible for cleaning up the space COMPLETELY, leaving no trace of occupation. Failure to comply will result in a $100 waste disposal fee. Vendor must carry out their own trash and not leave any trash in private dumpsters.

Equipment

No equipment is provided. Vendors are expected to provide their own tents, tables, chairs, and display structures. Exhibitors are responsible for securing their own tents.

Animals

This is not an ideal event for dogs/pets due to crowding. Vendors may bring their animal, but all animals must remain on a leash or in a harness at all times, and the owner is solely responsible for the animal's actions.

Compliance and Revocation

Participation in the event is conditioned upon compliance with all terms of this agreement. The event managers reserve the right to revoke permission to participate for violation of or failure to abide by the terms of this agreement.
